Setting up a training: what you need to know

The basics​

Trainings are designed to be 45-50 minutes of content with time for questions, so they typically last about an hour. While they can be shorter, this can sacrifice a significant amount of material from the prepared deck and reduce the result of the learning experience. For a more in-depth training, longer sessions might be appropriate. ​

Onsite vs. virtual​

Sessions are available onsite or via live or pre-recorded webinar, whichever best suits your needs. There are benefits to each type of training session delivery. ​

Onsite training ​

Onsite training offers the benefit of having everyone together in the same room, usually in a more interactive and energetic environment. The most significant drawbacks are limited space, trying to work with attendees’ schedules and reducing the opportunity to only one location. In addition, it is more difficult to record and send the session to those who couldn’t attend. ​

For onsite training, the training team needs 30 days’ notice to have enough time to find and vet a quality local provider (who will most likely be a mental health professional or clinician in your area) to present the session.​

Virtual training ​

Virtual training is the preferred option for several reasons. Live webinars are easy to record and distribute to whoever couldn’t join the presentation. Employees can share this insightful recording with their families, broadening the experience’s impact. Secondly, virtual training offers a diverse pool of vetted virtual presenters with demonstrated excellence. Because location is not a factor, virtual training can occur with only 21 days’ notice. Finally, the level of confidentiality is much higher for virtual sessions. Many of these mental health topics can generate very personal and sensitive questions and comments from the participants. When communicating virtually, participants often feel safer and more comfortable engaging. It is often easier for attendees to engage when they know their co-workers/boss/team members aren’t privy to their questions/comments.​

For pre-recorded webinars, there is no need to determine the best time for the session, nor do people need to clear or re-arrange their schedule to attend. These webinars require 21 days’ notice to find a quality presenter, record the content and send you the link.​

You then have a year from the recording date to share the webinar within your company. Webinars operate through the GoToWebinar platform, which can provide regular reports to determine how many people access the recording to assess utilization.​

For virtual trainings, you may choose GoToWebinar or one of your platforms (Teams, Webex, Zoom, etc.).​

Once a presenter has been confirmed, you will receive a flyer and a PDF of the personalized deck. For custom training requests, you will meet with the training team for a training consultation to discuss your needs and the complexity of the request. The training team reserves the right to push back the requested training date if the creation of the customized materials will take a significant amount of time.​

Choosing a topic​

Training consultations and run-throughs​

The consultation will discuss what you want the training to accomplish and what may work best for your team. There is no charge for this consultation, and it can include as many members of your team(s) as necessary. If you need customization, you can arrange a second consult to review the updated deck and make final changes.​

If you would like a practice run-through with the trainer to see how they plan to present the information, have any questions, or need to ensure the tech is working, this can be arranged. Out of respect for providers’ time, if this run-through appointment is more than 15-20 minutes, it will be considered a full session; the provider will be paid, and you will be billed for the hour. ​

Personalization, customization or development?​

Every presentation is personalized with appropriate information, including the client name on the title page and access/log-in information on the contact information slide. Additional information, such as internal terminology (e.g., employee vs. associate vs. team member), is also standard.​

In addition, there is the opportunity for customization. These customizations will use existing content resources and are available at no extra charge.​

If there is a need to go beyond customization and develop a training that is significantly modified from an existing offering or is a brand-new topic, please schedule a Training Consultation. During this appointment, you can work with the training team to dive deep into your needs, determine a timeline and discuss any additional costs.​

Cancellation policy​

Trainings have a 72-hour cancellation policy out of respect for the training providers. Providers all have their own clinical practices or businesses, and when scheduled to deliver a training, they need to take away this time from their other clients. If you cancel or reschedule without 72-hour notice, you will still be billed for the session, and it will either come out of your pooled hours or you will be charged directly for it.​

In addition, the regular scheduling requirements are in place for any rescheduled session: 21 days for virtual and 30 days for onsite. Sometimes, the training team can accommodate last-minute sessions, but the training will be billed at a rush rate of twice the regular rate, whether for contract hours or fee-for-service.​
